# Managing Contacts
## Uploading and Verifying Your Data
To maintain a high-performance messaging, it is essential to start with a clean and verified contact database. This guide outlines the end-to-end process of importing data, mapping fields, and utilizing advanced verification filters to protect your sender reputation and maximize deliverability.
### 1. File Preparation and Upload
Before importing your data, ensure your file meets our system requirements to prevent processing errors.
- **File Requirement:** We support **.CSV** files exclusively. If your data is currently another format, convert it to CSV prior to upload.
- **Upload Method:** You can drag and drop your file into the upload module or select it manually from your computer.
### 2. Field Mapping and Data Integrity
Once the file is uploaded, you must map your file headers to the corresponding system fields (e.g., matching "First Name" to the "First Name" column).
- **Industry Standards:** The system provides default headers optimized for Real Estate and Land Investment.
- **Phone Numbers:** You can map up to 10 phone numbers per upload. Each phone number is processed as a unique contact record.
- **Custom Fields:** For unique data points not covered by defaults, you can create custom fields within your **Settings**.
- **Mapping Templates:** If you regularly use data from the same provider, save your configuration as a **Mapping Template** to automate this step for future uploads.
#### System Safeguards
During the mapping phase, the system performs real-time validation:
- **Inline Warnings:** If the system detects formatting inconsistencies or potential mapping errors (e.g., a phone number in an address column), a warning will appear. Review these to ensure data accuracy before proceeding.
- **Auto-Formatting:** To ensure professional messaging, the system automatically corrects "ALL CAPS" or lowercase entries, applying proper capitalization to names and addresses during the verification stage.
### 3. Phone Verification and Scrubbing
Phone verification is a mandatory operational step. It scrubs your list to remove invalid or high-risk numbers before any messages are sent.
#### Verification Filters
| **Filter** | **Description** |
| --- | --- |
| **Opt-Out** | Automatically removes any contact who has previously replied "STOP" or has been identified by AI as an opt-out across all your linked accounts. |
| **Litigators** | A critical risk-mitigation tool that removes numbers associated with known legal proceedings, including their known associates. |
| **Carrier Blocked** | Scrubs numbers that have historically been blocked by the carriers. |
| **Undeliverable** | Scrubs numbers that have historically failed to deliver. |
| **National DNC** | Filters numbers registered on the official National Do Not Call list to ensure compliance. |
| **Internal DNC** | Scrubs against your personal "Do Not Call" database. |
| **Response Filtration** | Removes contacts based on specific keywords found in their previous replies (e.g., "Wrong number"). |
| **Existing Contacts** | Prevents uploading existing records. If this is deselected, the system will update existing contact records with any new information found in your file. |
### 4. Import Results Overview
After verification, the system provides a comprehensive summary of your list health.
- **Valid Mobile Numbers:** The total count of contacts eligible for SMS campaigns.
- **Landlines:** These are preserved but categorized separately. The system automatically creates a separate group for landlines (using the suffix "\_landline") for use in **Power Dialer** campaigns.
- **Invalid Lines:** You can review the "Invalid Lines" dropdown to see the specific reason each number was filtered out (e.g., "Litigator" or "Undeliverable").
### 5. Suppression and Long-term Management
#### Managing Exclusions
The **Suppressed Contacts** tab is where you manage your global "blacklist." You can manually import historical DNC lists or opt-out data here to ensure they are excluded from all future campaigns.

#### Response Removal Keywords
You can define specific keywords that trigger an automatic scrub. If a contact responds with any of these terms, they are automatically added to your suppression list and removed from future campaigns.
#### The "Duplicate" Feature
To retarget a specific group with different filtering criteria, use the **Duplicate** tool. This allows you to re-process an existing file through the verification workflow without re-uploading, giving you the flexibility to apply different compliance levels to the same data.
### 6. Important Operational Notes
- **Data Retention:** Deleting a **Group** does not delete the **Contacts**. Your contact data remains in the "Contacts" tab indefinitely, allowing you to re-organize them into new groups as needed.
- **Portability:** You can download your cleaned and verified lists at any time for your internal records or for use in external systems.
By utilizing these verification tools, you ensure that your team focuses only on high-quality leads while maintaining the highest standards of carrier compliance and deliverability.
